VACANCY: Department of Fire (Fire Marshal's Office)
MINIMUM QUALIFICATIONS - Graduation from high school or GED supplemented by college course work in business or secretarial practices with considerable experience in office administration; or any equivalent combination of education and experience which provides the required knowledge, skills and abilities.
REQUIREMENT(S): Must pass a criminal background investigation, pre-employment physical, and drug test.
NATURE OF WORK PERFORMED: This position provides administrative support to the Fire Marshal’s Office. This is clerical work involving the performance of responsible and varied duties and the making of independent work decisions. Work involves the performance of difficult clerical tasks, which normally include some advisory responsibilities. Work is performed within the framework of organizational rules; deviations from established patterns are ordinarily cleared through superiors. The work of this class is distinguished from that found in the Clerk III class primarily by the moderately broad office management responsibilities or the wider latitude of judgment in making decisions. Within the area of assignment, workers normally proceed independently after receiving instructions from superiors. Results of work are routed to a superior who reviews the final product.
EXAMPLES OF WORK PERFORMED: Types all correspondence and memorandums. Answers phones and takes messages. Prepares monthly reports such as but not limited to fires investigated and office productivity. Maintains databases such as Officers’ Building Inspections, Departmental Inventory, Departmental Personnel Files, and Fire Department permits. Processes and issues applications for permits. Performs radio communications. Performs filing of arson reports, street files, confidential reports, and general departmental documents. Interacts with the public, insurance companies, property owners, and design professionals. Will be required to obtain additional job-related training necessary for the operation of the Fire Marshal’s Office.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge of Microsoft 365/Excel, Microsoft Access, or any equivalent word processing and database software. Must have strong secretarial, proofreading, and office management skills. Ability to type 45 words a minute accurately with good grammatical substance. Ability to maintain complex clerical records and prepare reports from various statistical and accounting information. Ability to understand and follow complex oral and written instructions. Ability to establish and maintain effective working relationships with City employees and the general public. May be required to lift or move office items weighing up to 15 lbs.
RESIDENCY: City residency required within six months of employment.
